Privacy Policy

Folio (folio.uaeproperty.vip) is a private cabinet for Dubai property investors, operated by UAE Property VIP ("we", "us"). Folio gives you a personal address. Mail you forward there, or that a developer, DEWA or Ejari sends there, is filed under each unit. Telegram notifies you when something needs your action. This policy explains what data we handle and why.

Data we collect

  • Telegram account: your Telegram user ID, name and username, and the messages, documents and photos you send to the Folio bot (@foliore_bot). Your Telegram account is your Folio login.
  • Email address (optional), if you verify one in the bot.
  • Payment status: one unit is free and needs no payment. If you add more units we store the plan and paid-until date. Those payments are Telegram Stars: the Stars amount and Telegram charge id, not a card. Older Gumroad license keys can still be activated.
  • Mail to your Folio address: sender, recipients, subject, body and attachments of messages delivered to the address the bot gives you.
  • Gmail data, only if you connected Gmail before this address existed — see below.
  • Portfolio data extracted from your documents: unit and project names, unit numbers, contract dates, amounts, Ejari / DEWA / title deed references, owners and tenants named in the documents.

Mail to your Folio address

The bot gives you an address on in.folio.uaeproperty.vip. You can give that address to a developer, DEWA, Ejari or a property manager, or forward mail to it. Folio stores what arrives there, reads property messages and their attachments, and may send you a Telegram note. A Gmail forwarding confirmation link is sent to this chat so you can turn forwarding on. Mail that is not about a property is stored only as a received message and is not filed into a unit.

Gmail data and Google user data

This section applies only if you connected Gmail. New accounts get a Folio address instead. When you connect Gmail, Folio requests the gmail.modify scope plus your basic profile and email address. We use this access only to provide Folio's user-facing features:

  • Every 15 minutes Folio lists recent messages in your mailbox and checks the sender, subject and text to decide whether a message is about your UAE property (for example from a developer, DEWA, Ejari, a building manager or your tenant).
  • Messages that are not about property are only labelled Folio-Skipped in your Gmail. We do not store their content.
  • For property messages, Folio reads the body and attachments, stores the attachments in your private document vault, extracts the relevant facts (dates, amounts, reference numbers) into your cabinet, labels the message Folio-Processed and may send you a short Telegram notification.
  • The only change Folio makes in your mailbox is adding those two labels. Folio never sends, deletes or forwards your email.

Folio's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:

  • We use Gmail data only to provide and improve the features described above, which you can see in your cabinet.
  • We do not sell Gmail data, and we do not use or transfer it for advertising, credit-worthiness or lending decisions.
  • We do not use Gmail data to develop, improve or train generalized or non-personalized AI or machine-learning models.
  • No human at Folio reads your email, except when you explicitly ask us to for support, when it is necessary for security (such as investigating abuse), or when required by law.
  • Gmail data is transferred to third parties only as needed to provide the features above (the service providers listed below), to comply with law, or as part of a merger or acquisition with notice to you.

How we process data

To read documents and extract facts we use Google's Gemini API. Data sent to it is processed to return the result to you and is not used by us to train models.

Service providers that process data on our behalf:

  • Google Cloud (BigQuery, Cloud Storage, Gemini API) — database, document storage, document reading.
  • Vercel — website and application hosting.
  • Telegram — the bot, notifications, and Stars payments.
  • Gumroad — license keys bought before Stars payments.
  • Resend — receiving mail at your Folio address, and one-time email verification codes.

Storage, security and retention

  • Data is transmitted over HTTPS and stored in Google Cloud with access limited to Folio's service account.
  • Documents are served to you only through short-lived signed links from your own cabinet.
  • Each customer's units, documents and events are stored under their own account and are shown only to that account.
  • We keep your data while your account is active. When you ask us to delete your account, we delete your portfolio data, documents, Folio-address mail and any Gmail tokens within 30 days.
